Scope of Work: The “internal portal” is an operational tool created by MEDEA srl in order to assist the filling, filing and tracking of documents, with particular attention to those that are about to expire. This portal has been structured, therefore, in such a manner as to contain the same as it would have to be on paper. The operations of upload, editing or deleting of a document are regulated by a permit system, while all movements on the portal are tracked through a system of alerts via e-mail, sent to various managers and all employees involved at the time of each movement. All documents saved on the portal are subject to a daily backup. Each employee has its own account in order to login into the portal.
Technical Archive: This section contains all the drawings and technical file of the managed vessels. The documents may be filed in paper copy and/or digital copy.
Certificates: This section keep monitored all the expiring date of certificates and a warning system based on colors. Furthermore, a certificate can be uploaded in pdf file format. All the certificates may be listed for each managed vessel.
Archive of SMS Forms: All the forms of the SMS are filed in this section. It si also possible to download a blank version of a form or a compiled one. There are some filters to be used during a search (e.g. typology, vessel, date).
SMS Monitoring of Process: The process of the SMS are inserted in this section and are kept monitored. A process is an event that once notified in the system, needs to be monitored during its treatment (e.g. corrective actions) and is required to be verified and closed. The section has an automatic system of emails to notify all the new process, its status, its person on duty and its closure.
